About
A Melbourne-based consultancy, built to stay small.
Flowstate Ops is a sole-trader consultancy. There's no account manager, no handoff to a junior, no ticket queue — you deal directly with the person who builds and runs your systems.
The philosophy
Automation should do the work a system should be doing — not the work a person should be doing.
Answering the phone, following up a lead, understanding a customer's problem — that's work for your team. It needs judgement. Copying the same details from a form into a spreadsheet into an invoice — that's work for a system, and it's usually the work costing you the most hours.
We build the second kind. Quietly, in the background, so the first kind gets easier and your team spends its time on the parts that actually need a person.
That's also why the audit comes first, every time. We won't build something because it's possible to build — only because it removes real work.
How we work
Three things that don't change, regardless of the job.
Direct
One person, one point of contact. You're not explaining your business to someone new every time something needs changing.
Practical
No automation for its own sake. If a system doesn't save real hours or stop real mistakes, it doesn't get built.
Accountable
Ongoing management is part of the job, not an add-on. If something we built breaks, fixing it is on us.
Based in Melbourne
Working with businesses that actually run on the ground.
Being local means understanding the pace of a trades or service business first-hand — jobs booked between drives, paperwork done after hours, a phone that has to be answered even when no one's free to answer it. The systems we build are shaped by that reality, not by how a big software company imagines your day works.
